SITE Share User Guide

SITE Share is a secure file-sharing platform for sharing files with users and groups inside or outside the organization.

Get Started

Use the + New button to create or upload content.

Action Purpose
Upload Files Upload files from your device. Drag and drop is supported for files.
Upload Folders Upload folders from your device.
New Folder Create a folder to organize files.
Create File Request Collect files from others even if they do not have an account.
New Document Create and edit a Word document in SITE Share.
New Presentation Create and edit a presentation in SITE Share.
New Spreadsheet Create and edit a spreadsheet in SITE Share.
New Text File Create and edit a text file in SITE Share.

Warning

Files classified as SECRET or TOP SECRET must be encrypted and password-protected locally before upload. Share the file link and password through separate communication channels.

Sharing Folders and Managing Permissions

After creating a folder, click the sharing icon for that folder to view sharing options.

SITE Share supports:

Action Purpose
Internal sharing Share files within your organization.
Internal links Easy access For people who already have access.
External links Share files with others outside your organization via public links and email addresses.

Sharing Methods

Use internal sharing to share a file or folder with another user or group.

  1. Click the sharing icon for the file or folder.
  2. Use the sharing dropdown field .
  3. Enter the name of the person or group.
  4. Configure permissions from the three-dot menu next to each recipient.

Internal links provide quick access to a file or folder for users who already have access.

Use internal links when the recipient already has the file or folder shared with them and needs a direct path to open it after logging in.

Note

Internal links do not require link passwords, but they only work for users who already have access to the shared file or folder.

External links are protected with a password. Before generating the link, enter a password and share it with authorized recipients through a separate channel.

Password requirements:

  • At least 12 characters.
  • Includes numbers.
  • Includes uppercase and lowercase letters.
  • Includes symbols.

After creating the link, click the clipboard icon to copy it or generate a QR code from the three-dot menu. Click the watch icon next to a link to view its expiration date.

Use the three-dot menu beside the link to manage permissions.

Option Description
Read Only Recipients can view and download files without deleting originals.
Allow editing Recipients can upload, add, edit, or delete files in the folder.
File drop Recipients can upload files only. They cannot view the folder or delete existing files.
Custom permissions Apply custom permissions.
Hide download Prevent recipients from downloading files.
Password Change the link password. Passwords cannot be viewed after they are applied.
Set expiration date Expire the link without deleting the files. The minimum expiration period is one day.
Note to recipient Show a message to recipients.
Delete share link Delete the link manually.
Add another link Create multiple links for the same file or folder, each with its own restrictions.

Note

File permissions are similar to folder permissions, except file links do not include delete and upload options.

Transferring Ownership

Transferring ownership moves sharing, unsharing, external link management, tagging, and activity visibility from one user to another.

  1. Select the user image or initials in the top-right corner.
  2. Select Settings.
  3. Under Notifications, select Sharing.
  4. Select Choose file or folder to transfer.
  5. Navigate to the file or folder.
  6. Select the New owner user field.
  7. Search for the new owner.
  8. Select Transfer.
  9. The recipient opens notifications from the bell icon.
  10. The recipient accepts the transfer request.

Default Folder Behavior

You can set the default folder path for accepted shared files and folders.

  1. Select the user image or initials in the top-right corner.
  2. Select Settings.
  3. Under Notifications, select Sharing.
  4. Under Sharing, select / to choose a default path.
  5. Select a folder.
  6. Select Choose.

To create a new folder in this flow, use the plus icon, enter the folder name, and save it.

Important Notes

  • Organize content in folders to make files easier to manage.
  • Protect external links with strong passwords.
  • Store link passwords separately because passwords cannot be viewed after they are applied.
